About the Conference
​
The theme for the 55th Round Square International Conference "The New Africa '' will allow us to explore many ways in which the continent has evolved and is defining its position in the 21st Century. Brookhouse is planning a programme of keynotes and panel discussions that will highlight an array of African innovators. The conference will be hosted jointly across Brookhouse’s two campuses in Nairobi. Brookhouse families will provide homestay accommodation and a first-hand experience of African hospitality for student delegates. Adult delegates will be staying in hotel accommodation.
The conference will come together for the Opening and Closing days, whilst the Adventure, Service and Democracy days will provide smaller group opportunities on a rotation of activities across the middle three days of the conference, hosted at the two Brookhouse campuses, in Karen and Runda. The Adventure Day will feature a night under African skies, camping in the Nairobi National Park, with wildlife game drives and an environmental conservation focus.

About the Host School
Brookhouse is a co-educational day and boarding school for children aged 2 – 19 and spread across two beautiful campuses in Nairobi. The school was selected for review by the Good Schools Guide International and is a member of the prestigious G20 Schools. The school is fully accredited by the Council of International Schools (CIS) and the Independent Association of Preparatory Schools (IAPS). The unique Karen campus is situated on a vast 15-acre site, adjacent to rolling hills and the exquisite sites of Nairobi National Park while The Runda School is set on extensive landscaped grounds in the northern suburbs of Nairobi overlooking the Evergreen Park Lake. Brookhouse hosted the International Conference in 2012, welcoming schools from around the world and just over a decade later, Brookhouse cannot wait to unite the family again.

Delegation size
Standard delegations for the RSIC2023 will consist of two adults and up to five students.​
​
Waiting list: If, at the time of submitting your Letter of Commitment you are unsure if you can fill a full delegation (five students, two adults), you can commit to a smaller delegation, and request any places you are unsure about via the waitlist. This list will begin to be released on a first-in-first-served basis during the second half of April in the run up to registration opening on 1st May. Places requested via the waitlist are not subject to the cancellation policy until/ unless they have been confirmed. However it is also the case that those places are not guaranteed until/unless they have been confirmed. Should the conference fill to capacity with standard LoC submissions, it will not be possible to offer places to the waitlist, so please consider this before deciding how many places to confirm via LoC and how many to request via the waitlist.
Please note: Every delegation must include at least as many students as adults and ideally more students than adults. Delegations with more adults than students will not be accepted.

Student age
At the youngest end of the age range students must at least turn 16 during the academic year (at their own school) in which the RSIC takes place. Delegates that are 15 at the time of the RSIC will only be accepted if they will become 16 before the end of the academic year in which the RSIC falls. Students will be working together in peer groups and the activities are designed for this particular age group. Students under this age will not be accepted.
Conference fees

USD$1,275 for student delegates
-
USD$1,490 for adult delegates.
Delegate fees are fixed regardless of the duration of stay (e.g. an adult delegate that participates in the first three days only and then leaves will still pay the full delegate fee as the conference budget is predicated on a fixed number of delegate places).
The above price includes:

All meals throughout the duration of the conference;

All accommodation throughout the duration of the conference;

All transport throughout the duration of the conference (including pick up and drop off to Jomo Kenyatta International Airport); and

All visits and activities throughout the duration of the conference.
The above price does not include:

En route flights/transit costs to/from the point of arrival/departure;

En route accommodation to/from the point of arrival/departure;

Visas;
-
Personal spending money (for souvenirs and extra drinks/snacks);

Personal equipment; or
-
Any pre/post conference trips.
Payment details
You will receive an invoice from Brookhouse based on the number of delegates you specify on your Letter of Commitment. Bank details will be provided on your invoice.
Please reference your payment with the invoice number outlined and provide a proof of payment to the school in order to help us crediting the transfer into the right account.

Travel information
Arrivals: Arrivals are welcome on 8th October between 6am and 6pm. ​
Airport: Jomo Kenyatta International Airport.​
Transfer information: Delegates will be met at Jomo Kenyatta International Airport by members of the Brookhouse team and transferred to their prospective campus at Brookhouse School.
Departures: Departures from host schools on Saturday 14th October by coach to Jomo Kenyatta International Airport or by private arrangements by delegations to onward destinations.

Visas and entry requirements
It is the responsibility of each participating School to research and apply for the correct visas for all members of their delegation in good time before their planned date of travel to the conference.
​
Schools must also carry out their own research into specific entry requirements to Kenya and any transit countries as applicable to their journey from their country of origin, including any entry restrictions or requirements in relation to COVID-19.

Letter of Invitation
​

If you need different/ specific content in your visa invitation letters please contact us on RSIC23@Brookhouse.ac.ke. We recommend that you start this process as soon as you have identified your delegates, having first submitted your Letter of Commitment.​

Medical
​
It is important that all delegates visit a travel medicine/ vaccine specialist or a doctor familiar with travel medicine to answer their questions and make specific recommendations least 4-6 weeks before your trip.​ Your doctor will be able to provide information about staying well in country and any precautions to take.​
Insurance
​
Before making any travel arrangements, we recommend that schools check and ensure that they have adequate insurance in place for their entire delegation.
​
Travel Insurance: Schools are advised to arrange travel insurance to protect all members of their delegation in the event of delayed flights, lost/stolen luggage, and the costs of cancelling, delaying, extending, or cutting their trip short.
​
Medical Insurance: All delegates must have current personal medical insurance that is valid in all countries they plan to visit before, during and after the conference to cover emergency medical expenses.
​
Third Party/Public Liability Insurance: Schools travelling to the conference should have appropriate Third Party/Liability Insurance.
Please note: Each School’s RS Rep and/or other adults delegates should always carry the details of these insurance policies with them during the conference so they are easily accessible should they be required.

Cancellation Policy
​
By signing and returning the Letter of Commitment you will be formally committing to your school's attendance AND number of delegates at the 2023 Round Square International Conference at Brookhouse Schools. You will be charged for the number of delegates you have indicated on your Letter of Commitment and payment will be required before the outlined deadline on your invoice.

IF WE CANCEL: In the unlikely event that the RSIC2023 is cancelled by Brookhouse, a full refund of delegate fees will be issued. Any other non-refundable costs will be the school’s responsibility. Please ensure that your insurance will cover this. Brookhouse School will only cancel if the current situation in respect of international conflict, security or pandemic issues renders it impossible to continue i.e. there is an adverse change to circumstances for travel, and Travel Advisories specifically advise against travel to Kenya for overseas visitors or advise against international travel full stop.
IF YOU CANCEL: Please note the cancellation dates below before sending your letter of commitment as we willbe holding you to the numbers quoted. Please do not submit more than one letter of commitment as only the first letter we receive will be accepted. From that point onwards you must cancel any places that are no longer needed.
To avoid having to pay for unused places, we recommend that you replace delegates who can no longer attend due to unforeseen circumstances as any cancellations will be subject to the below cancellation schedule. Please remember, the conference fee is only transferable to a substitute from the same school.
All cancellations and alterations to your booking are subject to this cancellation schedule:

Cancellations during March 2023 will receive a full refund;

Cancellations during April 2023 will receive a 50% refund;

Cancellations between 1st May and 31st July 2023 will receive a 25% refund;
